They are currently preparing for a significant international plenary event to be held in late 2026 and are seeking professional support to ensure its successful delivery.
About the Role
An exciting opportunity exists for an experienced Event Coordinator to support the planning and delivery of a major international plenary meeting scheduled for November 2026. This contract role runs through to 31 January 2027 and will see you providing end‑to‑end logistics, coordination and administrative support for a complex, high‑profile event involving domestic and international stakeholders.
Key responsibilities include:
- Coordinating the production and distribution of event and delegate materials, including registrations, information packs and communications
- Preparing event runsheets and acting as the primary point of contact for audio‑visual and venue logistics
- Managing on‑site operations, including the registration desk and resolution of operational issues during the event
- Coordinating catering, hospitality and official functions
- Supporting organisational and operational meetings, including secretariat duties, agendas, minutes and briefing materials
- Managing supplier relationships and contracts to ensure quality outcomes
- Preparing draft briefing papers, reports and correspondence where required
- Delivering a post‑event, logistics‑focused lessons learnt report in collaboration with key partner organisations
To be successful in this role, you will demonstrate:
- Proven experience in event coordination, logistics or operational support for complex projects or large‑scale events
- Strong organisational and administrative skills, with the ability to manage priorities and meet deadlines
- Excellent stakeholder engagement skills, including experience working with senior executives and external partners
- High‑level written communication skills, particularly in preparing briefs, reports and correspondence
- The ability to work autonomously while contributing effectively as part of a broader team
- An Australian Government Baseline security clearance (or the ability to obtain one)
