About the role:
This role is responsible for developing and delivering timely, high quality written correspondence, briefings and other written material as well as providing accurate advice and support, for the Ministers Office and key internal and external stakeholders across a range of issues.
Key responsibilities will include:
- Prepare and provide timely, high quality Ministerial and Government correspondence and advice, including responses to Ministerial correspondence, briefings, speech notes, speeches, messages and other material to provide information, support events and respond to issues.
- Contribute to the delivery of projects, including written material preparation, communication and review, to enable communication of advice and information across the Agency.
- Provide accurate advice and support to management, the executive team and key stakeholders to support their response to issues and requests for briefings and information.
- Develop and maintain effective working relationships and communications across the Agency to source input for briefings and correspondence, coordinate deadlines and ensure quality standards are met.
- Collect, collate and analyse information on a range of matters to ensure that advice, reports, analysis, briefings and correspondence provided are current and accurate.
- Contribute to reporting, including on the status of key projects, issues and processes across the business, to support management and the Minister’s Office awareness of current issues.
- Participate in the analysis of situations and/or issues, considering options and contributing to approaches and responses to support the executive in managing related risks.
- Monitor, implement and evaluate administrative practices, systems and procedures within the team to optimise efficiency and effectiveness.
- Prepare guidelines and procedures for the preparation and management of correspondence, briefings and Parliamentary processes, and contribute to training of staff.
- Maintaining knowledge and understanding of initiatives, and issues to enable response to a range of matters, effectively developing succinct, clear and direct responses and briefings that balance potentially competing stakeholder priorities and perspectives.
- Collecting and collating information from a range of sources, including maintaining effective contact with communities and other agencies, to support the gathering of accurate and complete information in an environment which requires the capacity to respond quickly to changing circumstances and often challenging deadlines.
- Completing work to agreed timeframes and standards in an environment characterised by competing priorities, high expectations and tight deadlines.
- Exercising judgement, discretion and confidentiality in liaising with staff of the Minister, ministerial offices, other government agencies and a range of stakeholders.
